About Loopedn
Loopedn helps companies turn event conversations into sales. Attendees scan a Loopedn QR code at a booth, session, or webinar and answer a few quick questions. From there, automation does the work: Loopedn writes a personalized follow-up for every attendee within minutes, routes each lead to the right salesperson based on rules like territory or role, and gives event and marketing teams clear visibility into the return on their event budget.
Our customers are sales and marketing teams at companies that exhibit at trade shows, host workshops, and run webinars. Loopedn is priced per person at $29 per month or $290 per year, with a free plan to get started.
About the Role
We are looking for a Director of Business Operations to own the systems behind how Loopedn sells. Two things sit at the center of the job: our customer relationship management system, and marketing operations. You decide how a lead is recorded, scored, routed, and reported on, and you build the campaigns and automations that keep prospects moving from first touch to paying customer.
The role also reaches into the numbers behind the business. You will help with day-to-day accounting and with tax planning, working alongside our accountant, so that revenue, commissions, and expenses are recorded correctly and nothing is a surprise at year end.
This is a hands-on, build-it role rather than a supervisory one. Our own product handles event capture and follow-up, so much of the work is connecting Loopedn to the rest of the stack, keeping the data clean, and turning it into reporting the team can act on. You will work directly with the founder and with a small business development team selling into several industries, and you will set the process they all run on.
Responsibilities
CRM development and management
- Own the CRM end to end: configuration, fields, pipeline stages, lead scoring, routing rules, and permissions.
- Define how leads, contacts, companies, and deals are recorded, and keep that data accurate and deduplicated.
- Integrate the CRM with Loopedn, email, calendar, billing, and support tools so information flows without manual entry.
- Build dashboards and reports on pipeline, conversion, and revenue, and review them with the founder.
- Write the playbooks and short training sessions that keep the sales team using the system consistently.
Marketing Operations
- Own the marketing stack: email platform, landing pages, forms, analytics, and attribution.
- Build and run email campaigns, nurture sequences, and lifecycle automations from first touch through renewal.
- Track where leads come from and what each channel returns, and report on it monthly.
- Manage lists, segmentation, consent, and unsubscribe handling so our sending stays compliant and deliverable.
- Partner with business development on outreach targeting, sequences, and follow-up timing across industries.
- Run experiments on pricing pages, signup flow, and campaigns, and document what the results teach us.
Accounting and Tax Planning
- Keep the books current in our accounting system: categorize transactions, reconcile accounts, and close each month.
- Track revenue, subscriptions, refunds, and sales commissions, and make sure they agree with what Stripe and the CRM report.
- Manage invoices, receipts, expenses, and vendor payments.
- Prepare the schedules and documentation our accountant needs at quarter and year end.
- Work with our accountant on tax planning, including estimated payments, deductions, and deadlines, and flag anything with a tax consequence before it happens.
Qualifications
Required
- Several years of experience in business, revenue, sales, or marketing operations, or in a hands-on CRM administration role.
- Practical experience configuring and maintaining a CRM, for example HubSpot, Salesforce, Pipedrive, or similar.
- Experience running email marketing and marketing automation.
- Strong spreadsheet and reporting skills, and comfort working with imperfect data.
- Clear written communication, and the judgment to decide what to build first at a small company.
Preferred
- Experience at an early-stage or small software company, where you built the process rather than inherited it.
- Familiarity with Stripe billing data, subscription metrics, or revenue reporting.
- Bookkeeping or small business accounting experience, for example QuickBooks or similar, and comfort working with an outside accountant on tax planning.
- Comfort with APIs, webhooks, or no-code automation tools.
- Experience with event, trade show, or field marketing programs.
- Analytics and attribution experience, for example Google Analytics or similar tools.
What Success Looks Like
In the first year, we would expect:
- A CRM every seller actually uses, with pipeline the founder can trust without asking questions.
- Lead routing and follow-up that run automatically, with exceptions surfaced rather than lost.
- Monthly reporting on pipeline, conversion, and channel performance, delivered without being asked.
- Campaigns and lifecycle emails running on a schedule, with results documented.
- Books closed monthly and tax obligations planned for in advance, with no year-end scramble.
